Facility of Electronic Filing of Applications in the Office of Zonal JT.D.G.F.T., Mumbai TRADE NOTICE NO: 08/2001 Dated 09.08.2001 Sub: Facility of Electronic Filing of Applications in the Office of Zonal JT.D.G.F.T., Mumbai and same day issue of licenses to Non-status holders. This office has introduced the facility of Electronic Filing of Applications for licences with effect from 21/1/2000. Initially this facility was extended only to status holders like Export House/ Trading House/ Star Trading House/ Super Star Trading House. Now the relevant software has been installed in this office to enable the filing of DEPB and Advance License applications by non-status holders and Green Card holders also. The firms interested in using this facility are requested to follow the following procedure : 1. The firm shall make an application to this office declaring its intention to operate under the electronic filing scheme along with its e-mail address, IEC number and copy of RCMC and/or Green Card. On the basis of this letter, a secured password will be given to the authorized representative of the firm in a sealed envelope. The password is to be modified immediately on the first access due to security reasons. Applications for password may be submitted to Shri S.S. Das, Deputy D.G.F.T in this office or any other officer who may be designated for this purpose from time to time. 2. For filing e-applications, the password holder will have to access the official DGFT website www.nic.in/eximpol. He will then have to access the database by clicking on the relevant option button on the screen under the captioned e-commerce schemes. At this point, the server will verify the authenticity of the user's identity by asking for the password. 3. After successful authentication, the password holder may log in and menu driven screens will emerge; wherein the firm shall be required to fill the information relevant to their applications. 4. The data entered on the screens can be printed for proper scrutiny and it will be possible to modify the data before final transmission. Upon successful transmission of data, a message will appear on the screen confirming the receipt of the application and displaying the file number and key number allotted against the application by this office. 5. Subsequently the firm shall have to submit the hard copy of the application at the concerned section counter in this office quoting the file number and key number allotted against their electronic application. This application should be complete in all respects and all the documents as prescribed by Exim Policy for issuance of licenses/ DEPB. The date of submission of hard copy will be considered to be the date of application. 6. The hard copy of the application submitted by the exporter shall be scrutinized by this office and licenses will be issued on the same day provided the procedure prescribed in Trade Notice No.4 dated 02/07/2001 issued by this office is followed. In case any deficiency is found, it will be communicated to the party on the same day. Exporters are invited to participate in this scheme at the earliest as e-filing of applications is an important step towards the fully automated export import management system based on EDI (Electronic Data Interchange) envisaged by the DGFT. Participating exporters will have the benefit of being assured of receiving error free licenses on the same day as the hard copies of the applications are submitted in this office.
