To begin the certification process, the first step is to choose a certification body (CB) accredited by the National Accreditation Body (NAB), such as APEDA. These certification bodies are authorized to inspect and certify organic products under NPOP.

3. Application for Certification

Once a certification body is selected, the applicant (farmer, producer, or processor) must submit an application to the CB for certification. The application should include the following information:

  • Details of the producer/processing unit: Name, address, and location.
  • Type of products: What organic products are being produced or processed (e.g., fruits, vegetables, grains, etc.).
  • Production details: Farm size, crop details, and farming practices.
  • Processing methods (if applicable): Description of processing facilities and methods used.
  • Compliance with NPOP standards: The applicant must demonstrate that they meet NPOP standards (e.g., use of organic inputs, soil management practices, no synthetic chemicals or pesticides).

4. Documentation of the Organic Practices

The applicant must maintain and submit thorough documentation of their organic practices, including:

  • Farm management plan: Describes the farming techniques used, crop rotation practices, and any other relevant organic practices.
  • Input materials: Details on all fertilizers, pesticides, and other inputs used.
  • Record keeping: The applicant must provide records of all activities, such as planting, harvesting, storage, and sales.

5. Inspection by the Certification Body

After receiving the application, the certification body conducts an on-site inspection of the farm or processing unit. During this inspection, the following aspects are evaluated:

  • Farming practices: Verification of organic farming practices (no use of synthetic chemicals or prohibited substances).
  • Compliance with NPOP guidelines: Ensuring the applicant adheres to all NPOP standards related to crop production, processing, and labeling.
  • Traceability and recordkeeping: Checking the records maintained by the applicant regarding input usage and production history.
  • Processing facilities (if applicable): If the applicant is involved in processing, the certification body will also inspect the processing and packaging areas.

6. Evaluation and Report

Based on the inspection, the certification body evaluates whether the applicant complies with the NPOP standards. A report is prepared detailing the findings. If the inspection is successful, the certification body may issue a certificate for organic production, allowing the use of the NPOP logo and organic labeling.

7. Certification and Issuance of Organic Certificate

If the inspection and evaluation are successful and all standards are met, the certification body issues an Organic Certificate to the applicant. This certificate will allow the applicant to market their products as organic, in compliance with NPOP standards.

8. Labeling and Branding

Once certified, organic products can carry the NPOP Organic Logo or label. The logo helps consumers easily identify organic products that meet the required standards for organic production. It is also essential to include the certification number on the product packaging for traceability.

9. Annual Renewal and Inspections

The organic certification under NPOP is valid for one year. For the continuation of certification, the producer or processor must undergo an annual inspection. They must maintain their organic practices and keep records up-to-date. Annual renewals require the submission of documentation for each year, along with inspection by the certification body.

10. Monitoring and Compliance

Once certified, the organic farm or processing unit is subject to regular monitoring and inspections. This helps ensure continued compliance with the NPOP standards. Any non-compliance, such as the use of prohibited substances or practices, may result in penalties or revocation of certification.
