Check list for Modification of details in the existing IEC Number (Others, e.g. Trust, Society, etc.) - DGFT - 11/AM13Extract OFFICE OF THE ADDITIONAL DIRECTOR GENERAL OF FOREIGN TRADE NISHTHA BHAVAN, 48, SIR VITHALDAS THAKERSEY MARG, CHURCHGATE, MUMBAI-20. TRADE NOTICE NO.11/AM13 DATED 26 th JULY, 2012 Subject: Check list for Modification of details in the existing IEC Number (Others, e.g. Trust, Society, etc.) In order to bring transparency and uniformity in the office working, a Check-list for application for Modification of details in the existing IEC Number (Others, e.g. Trust, Society, etc.) has been formulated. This check-list is as per Chapter 2 of the Foreign Trade Policy 2009-14 ( Para 2.12 ), Chapter 2 of the Hand Book of Procedures 2009-14 (Vol. I) ( Paras 2.8, 2.9, 2.9.1, 2.9.2 , 2.9.5 9.1 ), and ANF-2A (Part A, C D) as given in Appendices to the Handbook of Procedures (Volume I) . The Check-list has two sections as follows: 1. Documents Section: Section giving the list of documents which are required to be submitted by the applicant. 2. Note Section: Exporters have been indicated certain points which they should check on, before submitting the application and the relevant documents in the said regard. The check-list would facilitate exporters to carryout due diligence before submitting her/his application so that the application which are complete in all respects are available for processing in the Department within the specified timelines. The check-list would also ensure that the processing of the case is not delayed for want of certain documents/additional documents/information on which the office may have to issue deficiency letters. Check List for Modification of details in existing IEC Number (Others e.g.: Trust, Society, etc.) ( Para 2.12 of FTP Para 2.8, 2.9 , 2.9.1 , 2.9.2 , 2.9.5 9.1 of HBP ) Whether following documents have been submitted Total number of pages in the relevant document I Documents 1 Covering letter in applicant s letter head duly signed by authorized signatory 2 ANF 2A (Part A, C and D) with each individual page duly signed by authorized signatory 3 Original IEC Certificate 4 Documentary evidence for date of formation by way of self-certified copy of Certificate of Formation issued by Charity Commissioner/Registrar of Society/other relevant authorities, as applicable 5 As proof of change in name, address/constitution of the Trust/Society, etc. : Self certified copy of documents issued by Charity Commissioner/ Registrar of Society other relevant authorities 6 For proof of addition of branch/factory, etc., documentary evidence like (any one) Shop Establishment Certificate/Excise Registration Certificate/ Sales Tax Registration Certificate/Electricity Bill/Landline Telephone Bill, etc. 7 In case there is change in PAN number of the IEC holder due to change in constitution/ownership of firm, etc .: Self certified copy of new PAN. 8 In case the applicant requests modification in name/address/ constitution after 90 days of such change : Application for condonation of delay 9 If, in case condonation of delay as per point 8 above is accepted, Demand Draft of ₹ 1000/- in favour of Addl. DGFT, Mumbai. Notes: The proof of person authorised by the company/firm should be enclosed by way of valid documentary evidence in nature of a Board Resolution/ Government Order/ Partnership Deed/ Power of Attorney, etc. as may be relevant. All above documents may be kept secured in a file cover. An Authorised signatory would include Proprietor/ Partner/Karta/Trustee/ Director/Power of Attorney holder by way of Board Resolution in case of Public Limited Company/ person authorized by Govt. order in case of PSU. The above documents may be sent by post or hand delivered at the Office of Addl. Director General of Foreign Trade, Nishtha Bhavan, 48, Sir Vithaldas Thakersey Marg, Churchgate, Mumbai-400 020. Kindly tick mark the relevant options given in point 5 of part D in ANF 2A . The applicants are requested to kindly adhere to the check-list in full while submitting their applications for IEC Number in order to enable the office to process their applications expeditiously. The Addl. DGFT office, Mumbai has strengthened Counter Assistance and provided a facility to the exporters which can be utilized free of cost by the exporters. The exporters can go to the Counter Assistants and get their application(s) checked for their completeness in terms of submission of documents. If an application is okayed by the Counter Assistants, the sections will not issue deficiency for non-submission of any documents regarding the said authorisation/scrip/benefit. For any queries/clarifications regarding the case, the exporters are requested to come directly to the office and not through their agents/consultants.
